For the latest version, see <a href=\"https:\/\/oihelp.corporate.ifs.com\/help\/p2-server\/importexport\/updating-the-config\">Updating the Configuration<\/a>.\u00a0<\/p>\n<p class=\"intro-text\">There will be occasions where you will want to update the P2 Server database in bulk, rather than manually adding individual items in\u00a0P2 Server Management.\u00a0\u00a0You can do this by exporting the existing data to a specially formatted Excel\u00ae spreadsheet. The spreadsheet is formatted so that the Data Dictionary has the required information to update your information\u00a0model\u00a0directly in the database.<\/p>\n<p class=\"intro-text\">Updating the\u00a0data in the P2 database is a simple 3-step process.<\/p>\n<ol class=\"intro-text\">\n<li><a href=\"https:\/\/oihelp.corporate.ifs.com\/help\/p2-server\/importexport\/exporting-your-config\/\">Export the existing P2 Server data<\/a> in Excel\u00a0format.<\/li>\n<li><a href=\"https:\/\/oihelp.corporate.ifs.com\/help\/p2-server\/importexport\/tips-on-filling-in-the-import-spreadsheet\/\" data-slimstat-tracking=\"false\" data-slimstat-callback=\"true\" data-slimstat-type=\"2\">Update the spreadsheet<\/a>.<\/li>\n<li>Import the spreadsheet.<\/li>\n<\/ol>\n<p class=\"intro-text\">Let\u2019s look at this process, step by step.<\/p>\n<h2 class=\"page-subheading\"><span id=\"Step_1_Export_ablank_spreadsheet\">Step 1. Export existing data<\/span><\/h2>\n<p class=\"intro-text\">Because both the format and content of the import spreadsheet is crucial to a successful update, we\u2019ve made it easy for you to download the data you need to update. Update the spreadsheet<\/span><\/h2>\n<p class=\"intro-text\">The key to a successful import is to make sure that everything in the spreadsheet is filled in correctly.\u00a0<\/p>\n<p class=\"left-bar\">Related:\u00a0<a href=\"https:\/\/oihelp.corporate.ifs.com\/help\/p2-server\/importexport\/tips-on-filling-in-the-import-spreadsheet\/\" data-slimstat-tracking=\"false\" data-slimstat-callback=\"true\" data-slimstat-type=\"2\">Tips on Filling in the Import Spreadsheet<\/a><\/p>\n<p class=\"intro-text\">The important part in an update is to make sure you have the <strong>Global Id<\/strong> columns filled in. These correspond to the GUIDs in the database that determine the records that will be updated.\u00a0<\/p>\n<p class=\"note\">Note: The GUID is exported from the database into the Global Id column. Do not change this, or the database will not recognise the row.<\/p>\n<p class=\"intro-text\"><a href=\"https:\/\/oihelp.corporate.ifs.com\/help\/wp-content\/uploads\/2015\/06\/guids.png\" rel=\"lightbox-1\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-large wp-image-4037\" src=\"https:\/\/oihelp.corporate.ifs.com\/help\/wp-content\/uploads\/2015\/06\/guids-800x251.png\" alt=\"guids\" width=\"800\" height=\"251\" \/><\/a><\/p>\n<p class=\"intro-text\">On the header rows in the spreadsheet, there are <strong>help comments<\/strong> for every column. This should provide you with enough information on what should be entered in the column. Click the little red comment indicator on the header row to see the help.\u00a0You can\u00a0find further information on crucial aspects of the Data Dictionary in the \u201c<a href=\"https:\/\/oihelp.corporate.ifs.com\/help\/p2-server\/primers\/\" data-slimstat-tracking=\"false\" data-slimstat-callback=\"true\" data-slimstat-type=\"2\">Server Primers<\/a>\u201d section of the Help Center.<\/p>\n<p class=\"intro-text\">\u00a0<\/p>\n<h2 class=\"page-subheading\"><span id=\"Step_3_Import_the_spreadsheet\">Step 3. Import the spreadsheet<\/span><\/h2>\n<p class=\"intro-text\">When importing, P2 Server first checks the file for errors and then asks for your permission to proceed. This is a fail-safe mechanism to ensure no errors propagate into the system.<\/p>\n<p class=\"note\">Note: During import, P2 Server Management is locked and other users will not be able to make any changes until the import has finished and the session is released.<\/p>\n<p class=\"intro-text\">The first part of the import process is similar to the export process:<\/p>\n<p class=\"intro-text\">1. In P2 Server Management, click the Import\/Export icon in the navigation bar.<\/p>\n<p class=\"intro-text\">2. Select the \u201cImport\u201d option from the middle panel.<\/p>\n<p class=\"intro-text\">3. Drag and drop your file into the box, or click the box to browse for your file and upload it.<\/p>\n<p><a href=\"https:\/\/oihelp.corporate.ifs.com\/help\/wp-content\/uploads\/2015\/06\/import-file.png\" rel=\"lightbox-2\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-18714\" src=\"https:\/\/oihelp.corporate.ifs.com\/help\/wp-content\/uploads\/2015\/06\/import-file.png\" alt=\"import-file\" width=\"1114\" height=\"441\" srcset=\"https:\/\/oihelp.corporate.ifs.com\/help\/wp-content\/uploads\/2015\/06\/import-file.png 1114w, https:\/\/oihelp.corporate.ifs.com\/help\/wp-content\/uploads\/2015\/06\/import-file-768x304.png 768w, https:\/\/oihelp.corporate.ifs.com\/help\/wp-content\/uploads\/2015\/06\/import-file-150x59.png 150w, https:\/\/oihelp.corporate.ifs.com\/help\/wp-content\/uploads\/2015\/06\/import-file-24x10.png 24w, https:\/\/oihelp.corporate.ifs.com\/help\/wp-content\/uploads\/2015\/06\/import-file-36x14.png 36w, https:\/\/oihelp.corporate.ifs.com\/help\/wp-content\/uploads\/2015\/06\/import-file-48x19.png 48w\" sizes=\"auto, (max-width: 1114px) 100vw, 1114px\" \/><\/a><\/p>\n<p class=\"intro-text\">The process continues\u00a0as soon as P2 Server detects your file.\u00a0First, the file is checked for errors and an overview of the upload\u00a0is displayed. The overview tells you how many rows have been counted for each worksheet, and highlights any errors that may be encountered. The overview for an error-free spreadsheet looks a bit like this:<\/p>\n<p><a href=\"https:\/\/oihelp.corporate.ifs.com\/help\/wp-content\/uploads\/2015\/06\/workbookoverview.png\" rel=\"lightbox[3888] lightbox-3\" data-slimstat-tracking=\"false\" data-slimstat-callback=\"true\" data-slimstat-type=\"1\"><img loading=\"lazy\" decoding=\"async\" class=\"border-image alignnone wp-image-3917 size-large\" src=\"https:\/\/oihelp.corporate.ifs.com\/help\/wp-content\/uploads\/2015\/06\/workbookoverview-520x600.png\" alt=\"workbookoverview\" width=\"520\" height=\"600\" \/><\/a><\/p>\n<p class=\"intro-text\">You must explicitly allow the import to proceed. You may continue to import a file with errors, but the system will disregard the errors and\u00a0only import the correctly filled in sheets.<\/p>\n<p class=\"intro-text\">There are 2 import options you can choose from:<\/p>\n<ul class=\"intro-text\">\n<li><strong>Create Only<\/strong>. Objects will only be ADDED to the database if they do not already exist. No existing objects will be updated.<\/li>\n<li><strong>Create and Update<\/strong>. Existing objects will be UPDATED with data from the import file, and new objects will be ADDED\u00a0if they do not exist.<\/li>\n<\/ul>\n<p class=\"intro-text\">4. For the scenario where you are updating existing records, select the \u201cCreate and Update\u201d option, and then click <strong>Import<\/strong>. Scroll to the bottom of the screen to see the <strong>Import Summary<\/strong>.<\/p>\n<p class=\"intro-text\">This will show you the number of rows imported or updated per worksheet.<\/p>\n<p><a href=\"https:\/\/oihelp.corporate.ifs.com\/help\/wp-content\/uploads\/2015\/06\/importsummary.png\" rel=\"lightbox[3888] lightbox-6\" data-slimstat-tracking=\"false\" data-slimstat-callback=\"true\" data-slimstat-type=\"1\"><img loading=\"lazy\" decoding=\"async\" class=\"border-image alignnone wp-image-3920 size-large\" src=\"https:\/\/oihelp.corporate.ifs.com\/help\/wp-content\/uploads\/2015\/06\/importsummary-343x600.png\" alt=\"importsummary\" width=\"343\" height=\"600\" \/><\/a><\/p>\n<p class=\"intro-text\">7. At this point, you can download the updated spreadsheet. This spreadsheet will be exactly the same as the file you imported, except that the Global Id\u00a0for the new rows will be updated. It\u2019s a good idea to\u00a0download the file if you intend to re-use your spreadsheet to update the database. This file will retain any formulas you used to calculate fields.<\/p>\n<div class=\"best-prac\"><i class=\"fa fa-trophy fa-2x fa-pull-left\"><\/i><span class=\"best-prac-text\">BEST PRACTICE<\/span><\/p>\n<p class=\"best-prac-desc\">You should download the file if you intend to re-use your spreadsheet to update the database. The downloaded file\u00a0will be exactly the same as the file you imported, except that the GUIDs will be updated.
